Account, Permissions and Billing

A User account is the login identity. A Profile is the Club identity and role used inside ClubSort. One User account can have multiple Profiles. Work is always performed in the active Profile.

Use Switch your active Profile whenever you work across Clubs, roles or Player/guardian contexts.

• Custodian: broad Club administration, people management, Package-related oversight and approvals.
• Director: Club management, staff/team operations and Plan/Review approval within assigned permissions.
• Manager: Team operations, Players, Events and Attendance within assigned Teams.
• Coach: Plans, session delivery, Team Players, Reviews and Game Tracker within assigned Teams.
• Player: own Team and Event information, Attendance responses and released Reviews.

Access can also depend on Team ownership, Membership, active Profile, Club settings and Package limits. Being able to view a record does not always mean you can edit, approve or release it.

Your active Profile selects the working Club and role. Team owners and Memberships further limit Team-level records. A Player can have a primary Team and a borrowed Team Membership.

When something is missing, check in this order:

1. Confirm the active Profile.
2. Confirm the Club.
3. Confirm the Team Membership or Team owner.
4. Confirm the role action you need.
5. Confirm the Club's Package or feature availability.

A Package determines the ClubSort capacity and features available to a Club. Depending on the Package, limits may apply to primary Players, non-Player Profiles, Teams, Plans and other records.

Positions are a Package-dependent resource and are not available in every Package. Where the Positions resource is unavailable, position fields, position administration, Game Tracker position controls and position-group minute reporting are hidden or unavailable. Check the Package information shown for your Club before setting up positions.

Package wording and availability can change. Use the Package information shown during registration or in your Club billing area as the current source for your Club.

Who can do this?

Custodians and authorised billing administrators.

How to do it

1. Open the Club billing or subscription area.
2. Review the current Package and usage information.
3. Compare current usage with the displayed limits.
4. Change the Package or billing details only when authorised.
5. Capacity becomes available according to the Package and payment state. Existing records are not a reason to create duplicate Players, Users or Teams.

Who can do this?

Custodians or authorised billing administrators.

How to do it

1. Open the Club billing area.
2. Review the current Package, subscription state and payment details.
3. Update billing information using the available payment form.
4. Save and confirm the change.

ClubSort may send you to a secure payment step. Do not enter payment details into a support message.

Who can do this?

Any User account that cannot sign in.

How to do it

1. Open the ClubSort sign-in page.
2. Select Forgot password.
3. Enter your User account email address.
4. Open the password reset email.
5. Set a new password and sign in.
6. Your User account keeps its Profiles and role access. Password reset does not change your active Profile or Club permissions.

Use the User menu to sign out when you finish, especially on a shared device. Keep your password private and report an unexpected invitation, login or Profile change to your Club administrator.
